That’s a Bit Risky

That’s a bit risky: It’s a simple phrase and probably one that we’ve all heard at various times in our lives, but what does it really mean? In my personal life, I love to scuba dive. When I talk to people about my hobby they often say, “Ooh, that’s a bit risky.” I usually say that it isn’t, but now when I look at what could happen on a dive then I have to agree.

There are a number of things that can go wrong whilst 30 meters underwater – some of which will kill you if you don’t know how to correct or resolve the problem. Faced with these potential problems, why do I still dive? The answer is simple: I love seeing sea life, it gives me a great sense of freedom, and it makes me happy.

I’ve also taken a lot of steps to mitigate the risks associated with diving. I’ve taken extra courses to improve my knowledge, I use my own equipment, which I know is reliable and is well serviced. I check this as well as any accompanying divers’ equipment before every dive, and I go with a certified dive guide from a reputable company who knows the area where we are diving. Finally, I check where the nearest hyperbaric chamber is located and make sure my insurance covers my use of it if necessary.

Similar to a successful dive, businesses must combat risk with knowledge and effective practices to reduce it. Whether they’re using collaboration systems already or just taking the plunge, organizations need to assess the risks associated with utilizing these tools while giving employees access to data that helps them do their work efficiently and intelligently. In order to do this, organizations need to train their employees so that they are aware of the risks and using systems according to defined information governance policies. Further, they need insight into the data that lives in these systems and the ability to take action as well as alert users if there are problems. Ultimately, it is everyone’s responsibility to prevent risk, and with an organization’s reputation and the potential for significant fines on the line, there is a lot at stake.

Another important step for reducing risk is having organizational information security and compliance policies that state the company’s direction in terms of where sensitive data should be stored. However, just simply having a policy is not enough. Organizations need to use this plan in order to assess risk across the environment on an ongoing basis and take action on anything that does not comply.

With AvePoint Compliance Guardian, you can use these policies to define risk formulas and generate a report which shows not only if data has failed, but also what the risk level for this particular failure is. From there, you can take automated context-aware actions to move, delete, quarantine, encrypt, redact, or restrict access to sensitive data based upon its classification. Finally, you can prove policy compliance with ongoing monitoring, detailed reporting, and granular incident tracking.

With the right policies and tools in place, organizations can navigate the waters of today’s enterprise collaboration environment successfully – allowing employees to be more productive while mitigating privacy, information security, and compliance risks.
