As more and more information is being stored in the cloud or in a hybrid environment, records management continues to be an essential task for every organization. At AvePoint, the Microsoft Cloud Expert, saying we’re aware of this would be a bit of an understatement. We’re pleased to announce the launch of our new online records management solution, AvePoint Cloud Records, which we will be exhibiting at this year’s Microsoft Ignite conference from Sep. 25-29 in Orlando.

AvePoint Cloud Records is the new Software-as-a-Service (SaaS) platform for SharePoint and Office 365 that makes it simple for information and records managers to manage Office 365 content and physical records to reduce risk and maintain compliance. Cloud Records safeguards records for the entirety of their lifecycle and ensures continuous integrity of records with comprehensive auditing both at an item or user level.

 

 

 

 

 

 

 

 

With Cloud Records, organizations can quickly and easily apply rules to adhere to ever-changing business or legislative mandates without disrupting established processes or information architecture. Cloud Records also improves the information management experience for business users, helping them quickly find the content they need to do their jobs and make sound decisions based on current and accurate information.

There’s a laundry list of benefits afforded by AvePoint Cloud Records. First, it provides management from a single interface. This allows the Records Manager the ability to streamline the classification and taxonomy process with a single interface allowing them to configure and manage a classification scheme, apply retention and disposal rules, and apply terms automatically. This removes the burden from end users needing to perform these tasks and ensures information is managed from its point of capture.

AvePoint Cloud Records also provides flexible retention and disposal rules. This allows your Records Managers to build business rules that can determine lifecycle outcomes for your content by creating rules that can be action- or date-based, can use any metadata, and be automated or manual.

Additionally, Cloud Records allows for quick access to multiple reports making for proactive management of information outcomes and the ability to report on actions performed on items, or by a user, with our comprehensive out-of-the-box reporting and ability to interrogate audit trails of actions.

Another feature is the Physical Item Management, which allows you to manage physical items, including boxes, files, and records in SharePoint Online physical libraries, and generate reports in AvePoint Cloud Records. End Users can create various requests to obtain the physical items that they need, which can trigger corresponding workflows allowing records management officers to review and process these requests to provide the corresponding physical items.

Before joining AvePoint, John served in a variety of technology and business roles at New Horizons Northeast and New Horizons of Central and Northern NJ. He earned his undergraduate degree from The New School.
