Located in Chiba Prefecture, Ichihara City has a population of approximately 280,000. In order to meet the information management needs of its 2,250 knowledge workers, the city opted to move content off of its file servers and begin utlizing SharePoint 2013. SharePoint would enable the city to improve governance over its organizational content, allow employees to find information with improved search functionality, and recover lost or accidentally deleted files easier than file shares would allow.
In order to enforce its governance policies and enable effective content classification, the city needed to ensure specific rules were enforced across the system. For instance, users with view-only permissions could not create files/folders or change file names from the top to third layers of sites to avoid users making up their own classifications. In order to automatically enforce these types of business rules without significant customization that could impact SharePoint’s response time, the city implemented DocAve Software – AvePoint’s fully integrated platform for SharePoint infrastructure management. In particular, DocAve Administrator enabled the city to streamline and automate everyday administrative tasks such as managing SharePoint permissions, maintaining site infrastructure, and enforcing SharePoint governance policies.
With DocAve, Ichihara City was able to:
- Automate SharePoint administration and permissions management for 2,250 users with the ability to implement changes in bulk, reducing the burden on IT
- Ensure organizational governance policies were met, with the ability to automatically revert out-of-policy changes in real time
- Generate usage reports to monitor performance and make informed decisions
